Res. No. 2022-117 Consider adopting Pleasantville Music Festival ticket distribution policy and request for various 501(c)(3) nonprofit organizations in the Hudson Valley

WHEREAS, the Pleasantville Music Festival is a single-day music festival which takes place annually at Parkway Field in Pleasantville, New York; and

WHEREAS, the Village wishes to provide general admission tickets to certain 501(c)(3) nonprofit organizations; and

WHEREAS, the Village wishes to establish a policy to govern its ticket distribution to various 501(c)(3) nonprofit organizations in the Hudson Valley.

NOW THEREFORE, BE IT RESOLVED, that the Village Board of Trustees hereby adopts the following policy to govern its ticket distribution to nonprofit organizations:

1.     Each nonprofit organization shall submit a request for tickets on an application provided by the Village of Pleasantville.

2.     Each submitted application will be reviewed and evaluated by the Pleasantville Music Festival Director.

3.     All application forms must be submitted to the Pleasantville Music Director at director@pleasantvillemusicfestival.com no later than May 15th each year. 

4.     The nonprofit organization must demonstrate how the tickets will be used to benefit the public. Only applications that demonstrate that the tickets received will be used to support a public benefit in some way will be eligible to receive tickets from the Village.

5.     The nonprofit organization must submit proof of its status as a 501(c)(3) with its application.

6.     A nonprofit organization that satisfies the criteria set forth herein may receive two general admission tickets. Under no circumstances will an organization receive more than two tickets.

7.     All nonprofit organizations located in Pleasantville or Town/Village of Mount Pleasant will be eligible to receive tickets.

8.     All other nonprofit organizations located in the Hudson Valley (which includes Putnam County, Rockland County, Westchester County, Dutchess County, Orange County, Sullivan County, Ulster County, Albany County, Columbia County, Green County and Rensselaer County) will be eligible to receive tickets on a first come, first serve basis. The Village will issue no more than 40 tickets (20 pairs) in total to eligible nonprofit organizations located outside the Village of Pleasantville or Town/Village of Mount Pleasant.

9.     Nonprofit organizations located outside the Hudson Valley will not be eligible to receive tickets.
